Privacy Policy

This Privacy Policy explains what personal data Calcudesk collects when you visit our website at https://calcudesk.com (the "Site"), how we use it, who we share it with, and the rights you have under Singapore's Personal Data Protection Act 2012 (PDPA) and other applicable laws.
Calcudesk is operated by Synergy Accounting Pte Ltd (UEN: 201321913D), a company registered in Singapore with its office at 9 Canberra Drive, Singapore 768070 ("we", "us", "our"). If you have any questions, write to admin@calcudesk.com.
In short
- We collect very little. We do not run a contact form, an account system, or a newsletter.
- Analytics (Google Analytics 4) is opt-in only via the consent banner. If you decline, no analytics scripts load.
- If you book a discovery call, your booking details go to Microsoft Bookings, which we use to manage the calendar. Microsoft's own privacy terms also apply.
- We do not sell your data to anyone. We do not run advertising, retargeting, or data brokering.
1. What we collect, and why
1.1 Web server logs (always collected)
Our hosting provider (Vercel) records standard server access logs for every request: your IP address, the URL you requested, the time of the request, your browser's user-agent string, and the referring page. These logs help us spot abuse, debug errors, and keep the site online. They are retained by Vercel under their data-retention policies and not used for marketing.
1.2 Analytics — Google Analytics 4 (only with your consent)
If you click "Accept" on our cookie consent banner, we load Google Analytics 4 (measurement ID G-VYE1XGWS87). GA helps us understand which pages visitors find useful and where they come from. We have enabled IP anonymisation. We do not pass any personally identifying information to GA.
If you click "Decline" — or do not interact with the banner — no GA scripts load and no analytics data is collected from your visit.
You can change your choice at any time via the "Cookie preferences" link in our footer.
1.3 Discovery call bookings — Microsoft Bookings
When you click "Book a discovery call", a modal opens with an embedded booking page from Microsoft Bookings (outlook.office.com), part of our Microsoft 365 subscription. The information you enter there (your name, email, and anything else you tell us) is collected and processed by Microsoft on our behalf. We use it solely to schedule and prepare for the call.
If you do not click "Book", nothing from the booking page loads and no data is sent to Microsoft.
1.4 Direct contact — email and WhatsApp
If you email us (admin@calcudesk.com) or message us via WhatsApp (+65 8988 1382), we receive whatever you choose to send. We use it only to respond to and follow up on your enquiry. WhatsApp messages are processed by Meta under Meta's own terms.
1.5 Cookie-consent preference (browser localStorage)
When you choose Accept or Decline on the consent banner, we store your choice in your browser's localStorage (calcudesk-consent key) for 12 months so we don't keep asking. This is technically a browser storage key, not a server-side cookie, and it contains no personal data — just accepted or declined plus a timestamp.
1.6 What we don't collect
We do not run a contact form, signup form, newsletter subscription, comment system, or user account on the Site. There is no chat widget. There are no advertising, retargeting, or social media tracking pixels.
2. How we use your data
We use the data described above only to:
- Operate, secure, and improve the Site (server logs, opt-in analytics)
- Schedule and conduct discovery calls (booking data, email exchanges)
- Respond to enquiries (email, WhatsApp)
- Comply with legal obligations (e.g. tax records, regulatory enquiries)
We do not use your data for automated decision-making, profiling for marketing, or training AI models.
3. Who we share it with
We share personal data only with the service providers we need to run the Site and our business:

We do not sell or rent your personal data. We do not share it with advertisers, brokers, or marketing partners.
If we ever instruct a contractor to assist us on a discovery call follow-up or service delivery, we will tell you, and they will be bound by equivalent confidentiality obligations.
4. International transfer of data
Because we use Vercel, Google, Microsoft, and Meta, some of your data is processed outside Singapore — primarily in the United States and other regions where these providers operate. We have selected these providers because they offer protections comparable to Singapore's PDPA through standard contractual clauses, certifications, and published privacy commitments (see Section 26 of the PDPA — the Transfer Limitation Obligation).
5. How long we keep it

We may keep limited records longer where required to meet legal, accounting, or audit obligations.
6. Your rights
Under the Singapore PDPA, you have the right to:
- Access the personal data we hold about you and ask how we have used it in the past year (Section 21)
- Correct any data that is inaccurate or out of date (Section 22)
- Withdraw consent for any purpose for which you previously gave consent — including by declining or revoking analytics consent via the footer "Cookie preferences" link (Section 16)
- Lodge a complaint with the Personal Data Protection Commission (PDPC) if you believe we have mishandled your data — see https://www.pdpc.gov.sg
If you are in the European Union, the United Kingdom, or another jurisdiction with separate data-protection laws, you may have additional rights under those laws (such as the right to data portability or to object to processing). Please contact us and we will assess your request in line with the applicable framework.
To exercise any of these rights, email admin@calcudesk.com with the subject line "Privacy request". We will respond within 30 days.
7. Security
We take reasonable steps to protect personal data, including using HTTPS across the Site, restricting access to systems on a need-to-know basis, and choosing reputable service providers. No system is perfectly secure; we will tell you and the PDPC if we ever become aware of a breach that materially affects your data.
8. Children
The Site and our services are intended for business decision-makers. We do not knowingly collect personal data from anyone under 13. If you believe a child has shared personal data with us, please contact us and we will delete it.
9. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top. For material changes that affect what data we collect or how we use it, we will publish a notice on the Site for at least 30 days.
